Las Vegas, NV- The TrackCore User Group for 2011 was held at the Rio All Suite Hotel and Casino in Las Vegas, Nevada September 19th-22nd, 2011. TUG11 was designed to gather the users of TrackCore from across the country and allow them to discuss their TrackCore experiences and how they strive to be compliant in their handling of tissues and implants.
The 2nd annual event drew hospital participants from Massachusetts to Washington state. Thirteen individuals were successfully certified on the TrackCore RN Exam and 9 individuals received the TrackCore Super User certification. We consider those who are certified to be experts, according to their roles in TrackCore.
"We had a lot of positive feedback from participants, and our users were excited to hear about the upcoming features and future improvements we're making to TrackCore." said James Casavant, Chief Technology Officer.
Scott Brubaker, Chief Policy Officer of the
American Association of Tissue Banks (AATB), provided the keynote address, "Expectations When Handling Tissue Grafts." Mr. Brubaker has led the AATB since 2004, serving as a liaison with the FDA, CDC and other professional organizations.
The featured educational session on "Bridging the Gap between Biologics and Compliance," was led by Phil Cearley. He is an Allograft Consultant with the
Musculoskeletal Transplant Foundation and is a Certified Tissue Banking Specialist with 10 years of experience in the medical industry.
Participants also heard from fellow TrackCore users, Terri Stec and Dave Border, who presented on their own experiences in using TrackCore, focusing on the TrackCore implementation process and how TrackCore enables continuous readiness for inspections.
Our users really enjoyed the event. "No improvements needed. You did a great job!," said one participant.

The Joint Commission's annual report on quality and safety names hospitals and critical-access hospitals that are top perfomers in using evidenced-based care processes, which are closely related to positive patient results. The hospitals were evaluated for the calendar year of 2010, with the top performers determined based upon 22 accountability measures in the categories of children's asthma, heart failure, heart attack, pneumonia, and surgical care. Recently, VHA Mountain States became the fourth VHA regional office to offer TrackCore to their members. The University of Missouri Health System has successfully launched LPIT’s TrackCore at three facilities with the Orthopaedic Institute being the first site live and now enjoying their first 6 months on TrackCore.
Columbia Regional Hospital, the Orthopaedic Institute and the University Hospital are now on the path to total compliance with the standards set forth by the Joint Commission.
The University’s medical experts have found the transition to tracking implants and tissue via technology easy. There are no more tedious forms to write on or paper copies to file. TrackCore does it all, providing electronic forms and storing data in a system with point and click accessibility.
The University chose to interface their Cerner SurgiNet EHR with LPIT’s TrackCore software by using Lawson’s Cloverleaf Secure Courier to send HL7 messages between the two programs.

Valley Medical Center located in Renton, WA went live with TrackCore and implemented a TrackCore ADT interface with McKesson STAR in December 2010. Valley Medical completed the interface with TrackCore, the #1 rated tissue and implant tracking software, in less than two months.
Valley Medical is relying on Lawson's Cloverleaf Secure Courier to transmit messages to TrackCore. STAR 2000™ and TrackCore both follow HL7 standards which allow for better communication with the tissue and implant products of third-party vendors, including tissues from the Musculoskeletal Transplant Foundation.

Bi-Directional Interfacing is now occurring between TrackCore and Meditech’s ORM Application at three of the Catholic Healthcare West (CHW) facilities in the Bakersfield, CA area; Bakersfield Memorial Hospital, and the Mercy Hospitals of Bakersfield Campuses at Truxtun and Southwest.
As of late December 2010, inbound ADT messages from the Memorial, Truxtun and Southwest facilities have been flowing via HL7 to TrackCore. ADT messages containing patient data are flowing from Meditech and auto-populating fields within TrackCore’s implant record.
The completed TrackCore Log, containing the tissue or implant data, is then sent back to finalize Meditech’s item implantation record. Additionally, outbound TrackCore inventory consumption messages from these facilities are being received by Meditech via HL7.

St John’s Medical Center in West Lake, OH successfully went live with TrackCore in June 2010. They are using TrackCore to track all their cellular and synthetic implants from the loading dock all the way through final disposition. One of the challenges for the clinical staff was the completion of the patient information in TrackCore. Due to IT department constraints they were not able to provide an HL7 or webservices integration between Meditech and TrackCore at the time of go live. To help ease the charting demands on nursing, the IT team generated a report out of Meditech, like this one http://www.lpitsolutions.com/resourcedocuments/MeditechBarcodeSheet.pdf, for all patients booked for surgery. The report is placed in the patient’s chart in the holding area, and contains individual barcodes for Medical Record Number, Account/Visit Number, Patient Name, and Date of Birth. This allows the Circulating Nurse to scan the patient information directly into the implant screen in TrackCore thus dramatically reducing both the number of keystrokes and the time to complete the implant record.

Recently, we have posted a lot about how our TrackCore customers can interface their existing Healthcare IT systems with TrackCore. What many may not be aware of is that TrackCore’s open integration platform also allows implant and tissue vendors to integrate with TrackCore. This means that by entering a serial number into the appropriate field when receiving an item into TrackCore, a user can retrieve information regarding that specific item directly from the vendor’s data description. This results in tremendous time savings, in terms of data entry, when receiving an item into TrackCore.
Many of our customers are familiar with this when receiving items from the Musculoskeletal Transplant Foundation (MTF) into TrackCore. Through LPIT’s unique partnership with MTF, TrackCore regularly receives product information for individual items that are shipped to joint MTF / TrackCore customers. This allows automatic population of everything from the item description to the cost and dimensions of the item, saving a tremendous amount of keystrokes. This interface is automatic for every new TrackCore customer.
What some do not know is that a similar interface was also implemented by Edwards Lifesciences (ELS), a leading manufacturer of heart valves and related repair products. The first interface between ELS and TrackCore was implemented over a year ago for the Cleveland Clinic. In order for a customer to initiate an ELS interface, you must contact your ELS account representative and have them contact LPIT Solutions to start the discussions of establishing the interface.

Recently, LPIT Solutions worked with Memorial Hospital South Bend (MSB) to utilize TrackCore’s 2D barcode functionality to create an interface between TrackCore and Cerner Surginet.
The process started by determining the order of the fields on the Cerner implant screen for Memorial South Bend. Next, a 2D barcode rule was created in TrackCore which pulls out the necessary fields from TrackCore and puts them into the chosen barcode format (DataMatrix). In the case of MSB, they chose to include only implant item information, including the TrackCore serial number, the item vendor name, item description, item dimensions, the vendor provided serial number, expiration date, lot number, vendor part number, and MSB’s internal item number.
When the item is received into TrackCore, the 2D barcode label is printed and affixed to the product. The 2D barcode scanner attached to the Cerner station is configured to read the barcode label and provide the information to the Cerner implant screen.
This process will save several keystrokes per implant and untold minutes in data entry for MSB. This also allowed them to attain a certain level of system integration without the added expense of having to engage their interface team. The modern bar code began in 1948, and by 1974, the first supermarket product with a barcode scanned at checkout was a 10 pack of Wrigley’s gum. Since then, the barcode’s distinct ability to mechanically identify a product has grown and evolved to the point where countless products are barcode labeled and the barcode itself has evolved to contain far more information than a simple product code.
Realizing the versatility and power of barcodes, LPIT Solutions added several pieces of functionality to TrackCore over the last several years that utilize barcodes to streamline and speed up data input, while enhancing integration capabilities. Relatively inexpensive and easy to implement barcode readers and label printers make utilizing TrackCore’s barcode capabilities a very cost effective way of streamlining the tissue and implant tracking process, and in the long run, a great return on your investment.
Bar code symbologies are definitions for how the barcode itself is formatted. TrackCore supports numerous symbologies including Code 39, Code 128, QR Code, PDF417, DataMatrix and more.
In TrackCore, you can use barcode scanners to read barcodes and:
- Search for and find specific items in the system.
- Retrieve data regarding an item that you are receiving into the system.
- Retrieve data regarding a patient by scanning their patient wrist band or chart.
- Use it as a data entry mechanism, by having other EMR software print out a list of barcodes that represent distinct pieces of information regarding an item or patient.
Most barcode scanners interact with your software packages by making your computer think that they are a keyboard. This means that you can use barcodes to enter data into a variety of fields and save a tremendous amount of keystrokes and data entry time. Scanners also come in both tethered and wireless models, the latter of which can offer the end user a tremendous amount of mobility when using TrackCore.
Attaching a label printer and printing barcode labels from within TrackCore provides users with two distinct advantages. In some cases, not all tissue and implant vendors uniquely identify each item that they send to a hospital. These items are barcoded with lot numbers or batch numbers which represent the general product information rather than the specific item the user is holding in their hand. Once an item is received into TrackCore, it is issued a unique identifier which can then be printed in the form of a barcode label and attached to the item itself. This enables hospital staff to scan for and easily identify the specific product that they are look for whether it is to implant the item or isolate it due to a recall notification.
The second major advantage to printing barcodes from TrackCore, is that users can print TrackCore barcode labels in a 2D format. Two-dimensional barcodes are usually represented in a square or pattern of squares that form a rectangle and are able to encapsulate a considerable amount of information in a small area. Symbologies like QR, PDF 417 and DataMatrix are all forms of 2D barcodes. Printing a 2D barcode out of TrackCore and affixing it to a patient chart allows users to enter their data into TrackCore. Then by using a 2D barcode scanner attached to their EMR system, they are able to efficiently enter information about both the implant and the patient into the EMR with a minimal amount of clicks and keystrokes.

The TrackCore team is often asked whether or not TrackCore will interface with a hospital’s existing EMR, OR scheduling software, supply chain software or other healthcare IT (HIT) systems. Often that question revolves around specific software like Epic’s Optime, Meditech, Lawson supply chain, Cerner’s Surginet, etc. The short answer to this question is always YES.
The TrackCore system was developed with an open integration system that allows hospitals to interface with TrackCore using the most desirable method for a hospital. This could mean an HL7 interface, secure web services or secure FTP, which are the three most popular types. Only data relevant to a customer’s use of TrackCore is used in the interfaces, however, LPIT continues to advance interface capabilities and is constantly working on developing new means and methods, as well as collection routines for specific types of data. This open system allows our interface capabilities to be agnostic when it comes to a specific HIT application.

TrackCore Software, product of LPIT Solutions, Inc., is able to provide customers with integration to Surginet, Cerner’s perioperative and anesthesia information system. This integration allows customers to fully utilize both software applications’ functionality, eliminating the need for clinical staff to have to document information into two unique systems. Through the use of the industry standard messaging method known as HL7, data is sent from Surginet to a Lawson Cloverleaf Secure Courier (licensed from LPIT Solutions) and then into the TrackCore application.

MEDITECH is an established vendor of integrated Health Care Information Systems and TrackCore is the market leading vendor of implant and tissue tracking software designed to assist hospitals in meeting Joint Commission compliance requirements for the tracking of tissue and implants. Three facilities in the Christus Health system are exporting ADT messages from MEDITECH through their Lawson Cloverleaf integration engine into the secure TrackCore data transport application then into TrackCore. Currently over 1,000 ADT messages are sent from the 3 facilities daily.
Catawba Valley Medical Center is sending SIU scheduling messages from MEDITECH through their E-gate Interface Engine to the Cloverleaf Secure Courier client (licensed from Lawson through LPIT Solutions) and into the TrackCore application. Three facilities in the Catholic HealthCare West system are also in the process of implementing this HL7 interface option.
St. John’s Westshore Hospital, has taken a slightly different approach, and has created a process where they print a sheet of 1D barcodes from MEDITECH and then use that barcode sheet and a barcode scanner to enter data into TrackCore without the user having to touch the keyboard.

At the TUG10 TrackCore User Conference, hosted by the Cleveland Clinic August 8-10, 2010, LPIT Solutions and the Cleveland Clinic announced the completion of an Enterprise Agreement that provides LPIT Solutions’ market leading implant and tissue tracking software to all of the Cleveland Clinic’s North American facilities.
In 2007, the Transplant Center and the Quality and Patient Safety Institute [at the Cleveland Clinic (sic)] implemented tissue tracking compliance software [TrackCore (sic)] designed to ensure adherence to Joint Commission standards for tissue transplantation and improve patient safety. This web-based program allows for bi-directional tracking of tissue from the donor or source facility to the recipient or other final disposition, including inventory monitoring, the ability to track the movement of tissue throughout the organization, storage of validation and patient implant records and the ability to monitor and log adverse events or donor infections so they can be properly reported. By the end of 2007, the tissue tracking system was in use at Main Campus and the three Ambulatory Surgery Centers for all areas using tissue. Over 4,500 customers use their software throughout the world and they have a particularly strong presence in various areas of the healthcare industry. Their Cloverleaf product provides organizations, like hospitals, the ability to enable all of their applications to seamlessly communicate with each other and share data. In the healthcare industry, inter-application data communication allows hospitals to move one step further toward achieving the Meaningful Use standards set forth in the American Recovery and Reinvestment Act (ARRA) of 2010. On August 10, 2010, LPIT Solutions closed the TUG10 TrackCore User Group Conference by introducing the latest evolution of its market leading Implant and Tissue Tracking Software. TrackCore RFID and Mobile was introduced as a means that will further simplify and streamline the implant tracking process.
TrackCore has partnered with hardware vendor Informs, Inc (

The application introduces Radio Frequency Identification (RFID) read/write capabilities, 1D/2D barcoding, touch screens and mobile device capabilities to reduce the keystrokes required to meet Joint Commission implant tracking documentation requirements and to simplify the overall process.
A new desktop based user interface utilizes the best features of kiosk style applications and applies it to the regulatory compliance and supply chain in healthcare environments. The TrackCore add-on works with customers’ existing web application data, enabling users to access TrackCore from either the software as a service (SaaS) web-based interface or from the RFID and Mobile interfaces. Those that had the opportunity to preview the application, at TUG10, found the user interface very user-friendly and viewed it as another significant step in streamlining the implant and tissue tracking process.

CLEVELAND, OH--The TrackCore User Group 2010 was held at the Cleveland Clinic Lerner Research Institute in Cleveland, Ohio on August 8-10. TUG10 was designed to spark and facilitate innovation with regards to tissue & implant tracking, compliance and methodologies to make the process easier and more efficient.
The event sparked interest from around the country, including hospitals from Californa all the way to New Jersey. "The input from our customers is invaluable to us" says Brenda Vander Linden, Co-Chair TUG10, "especially from a usability standpoint. In addition to giving our users the opportunity to voice their opinion, it gave them tremendous insight into how other organizations are tracking tissue and ensuring compliance."

He has published more than 225 manuscripts and book chapters. He is also Deputy Editor for Research for The Journal of Bone and Joint Surgery.

At the 2009 AORN Congress, LPiT Solutions, the developer of Tissue TrackCore announced that their software solution now supports integration with RFID hardware. RFID hardware is used to wirelessly receive product identification information from an RFID label and then electronically transmit the information directly to Tissue TrackCore, reducing the number of keystrokes required to perform data entry if bar code scanners are not in use. The RFID integration allows hospitals to track items with less manual data entry, providing for quicker and more accurate data entry, thus saving hospitals time and money.

There are several new changes to the Joint Commission Standards for 2009. One of the biggest changes directly affects the transplanting of tissues and organs.
- Transplant Safety (TS) is now its own Gold Chapter and a hospital must meet all the Elements of Performance (EP) in this chapter as a “Requirement for Accreditation”
What this means: The Joint Commission surveyor will spend time doing tracers and reviews on your entire tissue program.
- The new TS chapter requires more Documentation and new Measures of Success.
What this means: A Measure of Success (MOS) is needed. An MOS is defined as a quantifiable measure, usually related to an audit, which will be used to determine whether an action has been effective and is being sustained.
- There are now six Elements of Performance (EP) that are critically tagged and fall under the “Direct Impact Requirement” {TS .03.01.01 #5, #10} {TS .03.02.01 #1} {TS .03.03.01 #3, #4, #5}
What this means: If one or more Direct Impact EPs under a standard are found to be partially or insufficiently compliant, then all EPs under that standard must be addressed in an Evidence of Standards Compliance (ESC) within 45 days. Failure to send in the ESC or the MOS can result in either conditional accreditation or even denial of accreditation, or an unannounced on-site validation survey to see if you have made the required changes.
- Tissue TrackCore (TTC) is the only tissue tracking compliance software to be reviewed by the Joint Commission Resources. TTC can help you simply and efficiently meet all of the new standards with minimum impact on your staff.

The TTC software allows us to print a unique bar-code label for each product, so our staff knows which one to scan when there are multiple barcode stickers. 9/9/2008 – Through the use of secured web services, LPiTSolutions, Inc is successfully interfacing with McKesson’s Pathways Healthcare Scheduling (PHS) to ease data entry and improve accuracy in its tissue tracking software, Tissue TrackCore, aimed at assisting medical facilities in meeting Joint Commission standards for tracking allograft and autograft tissue.
In November 2007, LPiTSolutions introduced its Web Services Integration Platform (WSIP) into Tissue TrackCore, in order to provide medical facilities the ability to integrate their other information systems with TrackCore and to realize efficiencies in data entry. WSIP enables medical facilities to integrate a variety of systems that may or may not use HL7 as the standard format for transmitting data.
Additionally, in August of 2008, Tissue TrackCore introduced an HL7 interface as part of its offerings as well. This will allow hospitals with existing HL7 infrastructures, or who are looking to move to HL7, the ability to seamlessly integrate more of their systems with Tissue TrackCore.
Integrations, like the one with PHS, are resulting in the increased operational efficiencies through reduced keystrokes, improved data entry accuracy, and the elimination of redundantly entered data.

The Joint Commission has recently posted pre-publication versions of the 2009 National Patient Safety Goals (NPSG) and the 2009 Hospital Accreditation Requirements which includes a new chapter entitled Transplant Safety. The new publications contain a number of new items that may affect a hospital’s current practices regarding tissue and implant handling.
One of the important changes contained in the 2009 NPSG standard is entitled Universal Protocol (UP.01.01.01), and it addresses the pre-procedure verification process commonly referred to as the “Time Out”. The second Element of Performance for UP.01.01.01, found on page 25, reads:
“When the patient is in the pre-procedure area, immediately prior to moving the patient to the procedure room, a checklist (for example, paper, electronic, or other medium such as a wall-mounted white-board) is used to review and verify that the following items are available and accurately matched to the patient:
- Relevant documentation (for example, history and physical, nursing assessment, and pre-anesthesia assessment).
- Accurately completed, and signed, procedure consent form.
- Correct diagnostic and radiology test results (for example, radiology images and scans, or pathology and biopsy reports) that are properly labeled.
- Any required blood products, implants, devices and /or special equipment for the procedure.”

The holding room or circulating RN can use Tissue TrackCore’s patented Log Activity screen to do a simple search of active inventory for the implants or tissues that are needed for the procedure.

The 2009 Hospital Accreditation Requirements now include a new Transplantation Safety chapter. This chapter contains requirements relating to organ and tissue handling. Formerly part of the Provision of Care, Treatment and Services chapter, these requirements are now contained within a separate chapter. In addition to the numbering changes, there have been some minor changes made to the text. A separate Transplant Safety chapter will result in much greater scrutiny of a hospital’s program, policies, and procedures relating to transplants and implants.
